Cancellation Policy

All guests are required to purchase comprehensive travel insurance at the time of booking, or no later than 14 days after booking. Your policy should cover, at minimum: trip cancellation/interruption, medical emergencies, emergency evacuation, and travel delays. Wild Ground LLC does not provide insurance coverage of any kind, and proof of an active policy may be requested prior to arrival.
By completing your booking, you acknowledge that trip insurance is your sole responsibility, and that Wild Ground LLC is not liable for any losses that a valid insurance policy would have covered.

● Deposit: A non-refundable deposit of $500 is required to secure your spot along with a signed acknowledgment of the cancellation policy.
● Final payment: Due within 14 days after retreat deposit paid
● Late payment: Failure to submit final payment by the due date may result in forfeiture of your spot and deposit.

● 90+ days before retreat start: 50% of payment refunded, minus a 4% administrative fee.
● Less than 90 days before retreat start, or no-shows: No refund and no credit.
Because refunds are limited or unavailable close to the retreat date, guests are strongly encouraged to file a claim with their travel insurance provider for reimbursement of otherwise non-refundable costs.

If Wild Ground LLC cancels the retreat (e.g., due to insufficient enrollment, instructor unavailability, or venue issues), guests will receive a full refund, a credit toward a future retreat, or their choice of either. Wild Ground LLC is not responsible for any non-refundable travel costs (flights, visas, gear, etc.) guests may have incurred — another reason travel insurance is required.

Wild Ground LLC is not liable for cancellations, delays, or changes due to circumstances beyond its reasonable control, including but not limited to natural disasters, extreme weather, government travel restrictions, pandemics, civil unrest, or venue closures. In such cases, guests should file a claim with their travel insurance provider (a "cancel for any reason" or pandemic-inclusive policy is recommended if this is a concern).

If a guest must cancel due to illness, injury, or a family emergency, Wild Ground LLC will follow the standard cancellation schedule above. Guests are encouraged to submit a claim to their travel insurance provider for reimbursement, as Wild Ground LLC cannot offer refunds beyond this policy for medical reasons.

Guests who cannot attend may transfer their spot to another person, subject to Wild Ground LLC's approval, up until 30 days before the retreat. A transfer fee of $200 may apply.

By booking a retreat with Wild Ground LLC, guests confirm they have read, understood, and agreed to this Cancellation Policy, including the requirement to obtain their own travel insurance.
